FREQUENTLY ASKED QUESTIONS

Who do I contact with administrative questions?

Mary Lange is our team administrator.  She can answer any questions you have concerning your account, billing, volunteer hours etc.  Her email is [email protected].

How do I sign up for meets?

Members do not need to sign up for meets.  All members will be automatically entered into any meet that their respective group is attending.  Information regarding our meet schedule can be found on our team website under Team Events.

Do I need to opt out of any meet we will not be attending?

Yes, members must opt out of any meet they will not be attending!  Members are responsible for sending an email to [email protected] by the published deadline (listed on the event page) if they know their child will not be attending a meet.  Please include the child’s name and days/dates they will not be attending.  Please do not tell your coach at practice or text/email your coach that you will not be attending.  You may copy your coach on the opt-out email.  The only way to guarantee you will not be billed for meet fees is to email the opt-out email address.

If my swimmer gets sick and cannot attend a meet, am I entitled to a refund of my meet fees?

No, once your swimmer is entered in a meet, we are responsible for the meet fees regardless if they scratch due to sickness.

Does PAC host their own meets?

Yes, we do!  Typically, we host 3 short course meets and 3 long course meets per season.  These are our meets for the 2024/25 season:

PAC Maria Parmanan Invitational - Nov 8-9th, 2025

PAC 12&U Holiday Invitational - Dec 6th, 2025

PAC Winter Classic Invitational - Jan 23-25th, 2026

PAC Long Course Invitational - April 25th, 2026

PAC Spring Starter Invitational - May 15-17th, 2026

PAC Summer Classic Invitational - June 12-14th, 2026

Please note that our meets must be bid through Metro swimming and dates are subject to change.

Are there required volunteer hours associated with my membership?

Yes, each family has a required number of volunteer hours to fulfill for the season.  Any unfulfilled hours will be billed on April 1st for short course and August 1st for long course at $15/hour.  If you have two or more swimmers, you are only responsible for the hours associated with the highest group.  Please see the list of required hours below:

Most hours are completed by helping at our team-hosted meets but there are other opportunities to help as well. If you are having trouble fulfilling your hours, please ask about alternative ways in which to help. Members in all groups are responsible for volunteer hours even if their swimmer decides not to compete.

How do I sign-up to volunteer for our PAC hosted meets?

Approximately 2 weeks before a meet the volunteer sign-up will be activated on the website and email will go out informing the members.  You can access it on our website for upcoming events.

How can I check the status of my volunteer hours?

Login to your account on the Phoenix Aquatic Club website.  Click on My Account → Account Info → Service Hours.  Please check your volunteer hours after each meet and email [email protected] if there are any issues/questions.

Can my extra volunteer hours be carried over?

No, volunteer hours cannot be carried over.

How do I access information about meets PAC will be attending?

On the website click on the event sign-up tab and you will see all the meets there.  If you click on the meet, you will see additional information such as meet information, hotel information (if it is a travel meet), meet itinerary and meet entries.  This information will be regularly updated as the meet date approaches.

Do I need to maintain a credit card/bank account on my account?

Yes, a credit card or bank account for ACH payments must always be on file for all accounts.  If neither of these are on file, the account will be inactivated, and the swimmer will not be entered in any meets until the account is updated.  If you choose a credit card as your method of payment there is an added fee.  These fees are charged to us by Team Unify and unfortunately, we can no longer cover them.  All credit card payments will be subject to a $.30 + $3.0% per transaction fee.

Can I view my account and any account charges?

Yes, go to our website and log in to your account.  Click on My Account → Account Info → Billing Summary and then click on the individual charges for further details.

Do I need to register my swimmer with USA Swimming?

All swimmers must be registered with USA Swimming.  We will register all previously USA Swimming registered members.  Accounts will be billed on December 1st for this membership.  If your swimmer has never been registered with USA Swimming, you must register him/her directly with them.  Please click here for instructions on how to register.

Is it possible to freeze my account if my child is no longer swimming?

No, signing up for Phoenix Aquatic Club requires a season long commitment.  Our season begins August 25th and continues until the second week of August.  Members who join prior to October 1st may choose to pay monthly and will be billed in 10-month installments beginning in September and ending in June.  Members who join after October 1st will pay monthly through July.  We cannot freeze accounts unless there is a medical issue, or the member moves out of the area.  The two exceptions to this rule are a Stroke Development membership or a High School Prep membership.

What is a Stroke Development Membership?

Stroke Development (SD) is an entry program into Competitive Swimming or Fitness for Life. SD is a month-to-month based membership.  Stroke Development members will be billed monthly from September to July.  Swimmers 9&U will register for Stroke Development I and swimmers 10&O will register for Stroke Development II.  SD parents must meet the volunteer hour requirement even if their swimmer does not compete as well as learn how to opt out of meets (see above).

If you elect to stop swimming during the season (either permanently or for a single month), you need to notify Mary Lange [email protected] by the 15th of last month you are swimming.  For example, if you want to stop as of February 28th, you need to notify us by February 15th, otherwise, you will be charged for March.  We plan for pool time and coaches based on projected swimmers and we need advance notice to do this.

SD members who want to suspend their membership must email [email protected] by the 15th of the month prior to the month they would like the suspension to begin to avoid being billed.

What is a High School Prep Membership?

The High School Prep group has been created to cater to the growing number of older athletes looking to improve their swimming ability without the year-round commitment required from other groups on our team. This group can be for swimmers trying to improve before the next season of high school swim team, who are looking to become a more proficient swimmer to prepare for lifeguard certifications, or simply for athletes who love swimming but also participate in other activities. This group is only for swimmers aged 13&O.  This group does not participate in meets and are not required to complete volunteer hours.

How long is the swimming season?

The Short Course (SCY) season goes from September to March. During this season swimmers will compete in a 25-yard pool.  The Long Course (LCM) season goes from mid-April to mid-August.  During this season swimmers will compete in a 50-meter pool.  PAC usually breaks for two weeks in between these seasons.  PAC will also break around August 15th until the new season starts up after Labor Day.
